Archiving or removing older cohorts of children from EYFSTT files  
Early Years Foundation Stage Target Tracker software has been designed to allow multiple year groups of children to be present in the same file. This is the recommended way of using the software as it allow direct analysis of the progress and achievement of  e.g. the current Reception compared with last year's Reception and even those children now in Y2.
Eventually you may wish to archive older year groups to take them out of the file and a new facility has been added to allow whole year groups, from Y1 upwards, to be removed and placed in an independent file. The archived year group can easily be added back into the original file, added to another EYFSTT file or opened in a new file of its own, if further analysis becomes necessary. Please note - Reception children and younger cannot be archived out of the file.
 
To Archive a year group
Load the EYFSTT file into the program
Select a year group to activate the file 
Click on the green icon to load the file menu
Click on Archive
Click on Archive Year Groups
Select the year group that you wish to Archive and click on Archive
Browse to the location that you wish the Archived file to be saved, make a new folder if desired.
Click OK. The year group has been removed from the file.
 
To restore an Archived year group to the file
Load the EYFSTT file that you wish to add the year group back into
Click on the green icon to load the file menu
Click on Archive and then Restore Archive
Browse to the location that you saved the archived data - the filename you will be looking for will include the name of the original file and the year group of the children as they were when they were archived
Click on the file then click on Open
The year group is added back into the file
 
To open an archived year group in an independent file
Open the EYFSTT software
Click on the green icon to load the file menu
Click on Archive
Click on Open Archive for Analysis
Highlight the archived file you wish to open and click on Open
The year group is reloaded into an EYFSTT file of their own
 
To open an archived file into another EYFSTT file, i.e. not the file the children archived from originally
The final option in the Archive menu - Include Archive for Analysis allows an archived year group to be loaded into a different EYFSTT file that is not the file that the archived year group was removed from originally.
To do this first load the file into EYFSTT that you wish to add the archived data into
Click on the File menu and then on Archive
Click on Include Archive for Analysis and browse to the archived year group file that you wish to add
Highlight the file and click on Open
The archived year group is added into the file
