The EYFSP reports in this Support Article focus on achievements in Early Years Foundation Stage Profile statements. For guidance on reporting Development Matters statements please use the Support Article - The Development Matters Reports in Early Years Foundation Stage Target Tracker .
All data in the EYFS reports is generated from achievements entered into the software through the Basic or Advanced Quick Assessment or the EYFS Planner.
Having run a report they can all easily be exported to other software packages by clicking on the Export tab at the top of the screen and choosing Word, PDF, Web Page or Image.
From the Home page click on EYFSP Reports
EYFS Profile Entry Level Assessment
This report automatically calculates the EYFSP entry level assessment. It does so using a specific definition. This definition is applied throughout the software and is recognised by most local authorities.
Entry Level Assessment is defined as the assessment at the end of the first half term in the year in which the children join Reception. This is the academic year in which the child become five years old regardless of the class they are being taught in. To clarify, a pupil who is five years old in July may well be taught in the Nursery class during the autumn and spring terms, moving to the Reception class in the summer term, but it is their achievements in the first half term they are in the school in that academic year i.e. autumn, that will be used as their entry level assessment.
As well as date of birth the calculation also looks at date of entry. Pupils who join the school in spring or summer will have their assessment at the end of their first half term, included in the report. Pupils who joined the school in Nursery or even Pre-school will not have their assessments included in the report until the end of their first half term of their Reception year.
Clicking a total will display the actual points achieved by that pupil and hovering the mouse over one of the figures (1-9) in the mini summary displays the actual statement it refers to.
EYFS Profile Pupil Summary
The blue highlighted areas represent Achieved statements and the red ones represent those which a pupil has been identified as Working Towards. The white ones are those which a pupil has not begun or simply not been assessed in. Hovering the mouse over a cell displays its associated EYFSP statement text.
Clicking the Terms button changes the report to only show the achieved statements but highlights which term they were achieved in.
Clicking the Statements button inserts the EYFSP Statement text into each cell which is useful when printing the report.
The report can also be run by Subject - click the Subject button and choose a subject from the drop down list. This shows the achievement for each pupil but for one area of learning. Displaying as terms and including statements in the report works as described above.
A useful tip if you do wish to print the report for an individual pupil with statements included and want the report to appear on one sheet of A4 paper. When going to Print Preview choose the Landscape option and then from Shrink to Fit choose the Custom option and type in 43%. We have found that this will size the report to fit onto one page although the text will be very small. If you don't have the Shrink to Fit option in Print Preview you will need to upgrade your version of Internet Explorer to at least Version 7 from the Microsoft website. If using the Subject view it may not be possible to fit the report onto one page as this will depend on the number of children in the group you are reporting on.
Each cell is highlighted according to the percentage of pupils who have been identified as Achieved (blue), Working Towards (red) or Not Begun (white) in each statement.
Clicking on a cell displays a summary showing which pupils are represented by each shaded area in each cell.
The Pupil Counts and Percentages radio buttons add the appropriate figures to the report which is useful when printing. Using the Pupil Filters tab it is possible to quickly select other filter groups, such as boys or girls, to run the report for. The time period to view can also be chosen by clicking on the Period options
EYFS Progress Between Terms
The Progress Between Terms report in Summary mode displays the average attainment, for the cohort or group of children selected, for each of the chosen terms and graphically displays the progress for each of the 13 areas of learning. It also gives an overall average progress figure. The Pupil mode allows you to see progress for individual pupils in one area of learning. Select the required Start and End periods.
Each pupil is placed according to their raw score in the selected subject and the cell colour represents their points progress.
The report may be customised to show progress between the desired start and end half-terms and clicking the Points Progress box adds the actual numbers of points progress to each cell. This is useful when viewing the report on a monitor which does not show the distinction between each colour or where progress is higher than 3 points. The number and percentage of children making 0, 1, 2 or 3+ points progress is also shown.
Clicking a pupil name displays the actual statements achieved and highlights which ones were achieved in the period between the selected start and end half-terms
As the report is showing raw scores rather than specific statements achieved, these may be displayed by clicking on a score. The actual statement will be shown on hovering the mouse over one of the figures (1-9) in the mini summary
The report displays statistics for the cohort or the currently filtered group (boys, girls, class etc.) except for the final statement on turnover which applies to all of the Reception pupils in the file. The Key Questions report includes information on the number and percentage of children who have achieved ' a good level of development' this is a DfE term meaning 78+ points overall including 6+ points in all areas of CLL and PSE.
The % turnover calculation is based on the measurement devised by Janet Dobson (DfES) in 1999 and used increasingly by Local Authorities and Ofsted.
Turnover = (Pupils Joining + Pupils Leaving) x100 / Total Current Cohort Roll.
EYFS Profile Key Statistics
The Key Statistics report is only available for a single year group of Reception or later. Like the Key Questions report, provides the type of information that you may be asked to provide for your School Improvement Partner (SIP) or for Ofsted.
This Summary report is intended as an end of Foundation Stage report. It shows Attainment and Progress across Reception for significant groups of children. These figures are shown for children who start Reception in the Autumn and again for those starting later than the Autumn term. It is also possible to run the report to show the information for individual pupils - click the Pupil button.
The pink, white or green shading in the Summary report applies to end of Reception expectation.
If you are an Essex school and you have been asked to export the report ready for upload to the SSET website click Export and Word, and Save the report.
EYFS On Track report
The On Track report allows detailed analysis through the use of a Venn diagram, it is only available for a single year group of Reception or later. The report allows you to see which pupils are on track and have achieved the expected number of points each term, as a number or as a percentage. The expected number is 52+ for Autumn, 65+ for Spring and 78+ for Summer. For a more detailed explaination of the theory behind these numbers please view the Help document included in the EYFSTT program.
The report also shows the number or percentage of children who have achieved 4+, 5+ or 6+ points in all 3 PSE areas and/or all 4 CLL areas, in Autumn, Spring or Summer respectively. Children who haven't achieved either the expected number of points, or 4+, 5+ or 6+ points (depending on the term) in all areas of PSE and all areas of CLL are displayed in a box outside of the circles. Click on the numbers to see which children are represented.
