Merging the data in multiple, unrelated copies of Early Years Foundation Stage Target Tracker files (each file containing different children)  

If the files you wish to merge contain the same children, and were created as copies of each other, it is possible to synchronise the data. Please use the Support Article – Synchronising the data in multiple copies of Early Years Foundation Stage Target Tracker files

 

If the files you wish to merge contain the same children but were not created as copies of each other, for example each file was made individually using the data from the school's MIS, then a different process is necessary. Please use the Support Article - Merging the data in multiple, unrelated copies of Early Years Foundation Stage Target Tracker files (each file containing the same children)

 

However, if the files contain different children, for example Class A in one file and Class B in the other, use this Support Article for guidance on making a CTF (common transfer file) from one of the EYFSTT files and importing this CTF into the second EYFSTT file. Please note – this process will only merge assessment data, not evidence such as photos, videos or sound recordings

 

Load the Early Years Foundation Stage Target Tracker software

Open the first file – click on the Class name from the Pupil Selection page or use the Pupil Filter option from the Contextual or EYFSP Data screen to select and filter just the children from this file with data that you wish to export to a ctf file

 

Click the green icon in the top left corner to load the File menu

Click on Export – and click on CTF

An Export Pupils to CTF window loads

Enter your own school LA and School numbers in the destination details

Click to the button to Select All pupils in the file

Click Export Pupils

A Save In window loads in the default location of My Documents / Target Tracker / EYFS / Exports

Click Save to save the file to this location or browse to another location if desired.

Do not rename the file (make a note of the file name for future reference)

A message box loads to confirm where the file has been saved and offers the chance to save the file to another location if required. Click Yes or No

Click Close, then OK, then Exit the XML processor

 

Next load the EYFSTT file that you wish to merge the CTF that you have just made into, click the Year group from the Pupil selection screen

Click the green icon in the top left corner to load the File menu

Click Import and CTF

Browse to the location of the ctf file made from the first EYFSTT file

Check the file name is correct then open the CTF

The children's names will appear in the XML Processor

When processing has finished click Exit

The processor closes leaving you back in the Pupil Selection screen

Click the Contextual, DM or EYFSP button to refresh the screen then return to Pupil Selection where the newly added class will now be available to choose
