Creating the Early Years Foundation Stage Profile data return for the Local Authority from EYFSTT  

Having completed the data for the Reception Summer term in Early Years Foundation Stage Target Tracker you can create a file for the Local Authority Early Years Foundation Stage Profile data return.

 

Please ensure that you are running the correct version of EYFSTT before making the return, do this by going to the File menu (the green icon) and About. The version must be V6.2.04491 or higher, If you are running any other version please remove the EYFSTT program in Add / Remove programs, then reinstall the V6.2 disc sent to you recently.

 

You must also have the following information in your EYFSTT file

UPN, Surname, Forename, Gender, Postcode and Date of Birth for each pupil

 

Before proceeding with the export file check that the data to be returned is correct. View the Attainment report for the Reception Summer 2 period. These are the scores that will be returned to the Local Authority.

 

When you are happy that all data is in the file correctly and are ready to make your data return

 

Click on the green icon in the top left corner of the screen to load the File menu

 

From the File menu click Export – EYFSP Data Return

   

Possible issues -

A warning will be given if you have any children in the file who have achieved a learning goal at Point 4 or higher, but have not achieved all of Points 1 to 3 in one or more areas of learning. This warning is for your information only and may be ignored in line with the current EYFS guidance.

Error (50004-LA / DCFS missing from Configuration table) To solve add the school's Local Authority and DfE  numbers to the School Information page in the Admin section of the EYFSTT program then try the Export again

Missing/ invalid UPN's, Gender codes etc. need to be added / updated in the Admin - Pupil Manager section of the program

Some pupils have not been assessed - the process has found that some of the children have an N in the attainment report which means Not Assessed. It is possible that this is correct or perhaps the N should actually be a zero, or maybe the child has been missed out and has not been assessed in error. There is an option to continue if the assessments are correct or cancel the data return whilst corrections are made. 

 

If no errors are found the next screen gives an option of exporting as an XML or a CSV file – click the option that your Local Authority have asked for. (Usually XML)

 

A Save In box loads in the default location of My Documents / Target Tracker / EYFS / Exports – Click on Save

 

The XML option then gives the option of saving the data to another location e.g. a memory stick, click Yes or No as desired. The CSV option does not allow copying to another location at this point so it is worth making a note of the location and the file name at this stage. Then click Close or OK on Export Complete

 

Do not rename either the XML or the CSV file as the names are as required to send the files to the LA

 

Click OK and Exit to close the XML Processor
