Useful data to produce from Primary Target Tracker ahead of an OFSTED inspection  

This document shows some of the reports and graphs, that you may find it useful to prepare, to show data for cohorts and also for specific groups of children that may be an issue in your school. A quote heard recently from an Ofsted inspector was "it is useful to have prepared your retaliation first!"

 

Reporting on Progress

To be able to show progress towards targets when only part way through a year, it is useful to create a filtered set of columns from the Tracking Data sheet. You should choose the columns that contain the current assessment, this will be the latest assessment that has fed back from Termly Tracker, and the current year Target column. Do this by clicking the required column headers whilst keeping the ctrl key on the keyboard held down, then go to Filter – Column Filters – Selected Columns. This should leave you with 10 columns of data e.g. Tgt Y2 and TAY2 for 5 subjects - on a year 2 file.

 

What data does this show?

The Averages in the top row displays an average of the data in the column beneath.

The % at Upper, Middle or Lower level cells show you both the end of year target percentage at each level and the current percentage at each level. Hover the mouse over the cells to see the actual levels represented.

This process allows you to see progress towards targets for the cohort. The information is based on the children on the screen, so it may be useful to filter the children by key groups to compare their progress e.g. boys versus girls, core group versus new arrivals etc. Use the Filter menu - Pupil Filters to use the in-built filter options or use the Filter Wizard, also in the Filter menu, to view the data for any of your own Stored Groups of pupils.

Identifying children at risk of not meeting targets

It is also possible to use this set of filtered columns to identify children most at risk of missing their end of year targets. Click on any of the Teacher Assessment columns and then click on Sort -Range Above/Below target. This will re order the children and provide infomation in column 4 as to who has not met, met or exceeded their end of year target. The child at the top of the list is missing their end of year target by the most sub levels, the child at the bottom has exceeded their target by the most sub levels. Viewing the data in points instead of levels

Ofsted may ask you for data in Average Points rather than levels. To show this first filter the Tracking Data screen to just the columns required as explained above, then click the Points Viewer button. The data from the Tracking Data sheet will be converted to Average Points. it is useful to view this data alongside a print out of the Conversion table which is in the Help - Tables menu of PTT.

For showing progress between KS1 and KS2 the Average Points scale should be used. But for showing progress between other time periods it is useful to switch from Average Points to the 2 Point Scale, using the Toggle Scale button in the Points Viewer. This will then show progress using 2 points for every third of a level. This is not shown using Average Points except for sub levels within Level 2.

 

Creating Progress Graphs

Another way to show that children are making progress is to prepare Progress Graphs. These can be run to compare the progress of key groups of children. Some examples are Boys versus Girls, the children you have had in school from the beginning versus later arrivals, Non SEN versus SEN, First language = English versus EAL children, children receiving extra support in a subject versus those who are not.

It is useful to give some thought in advance to the types of children Ofsted may ask you about and plan what to graph to show the data to its best advantage.

Making Good Progress reports

These reports, accessed from the Reports menu in Primary Target Tracker, show the progress children are making from FSP to end of Y1 or Y2 for KS1 children, or progress from KS1 to present for KS2 children.

 

They are based on Teacher Assessment for Yr 1 to Yr 5 but on Test results for the end of Y6.

 

The report can be run using data for the end of the previous year or data for the current year. Choosing the Show Current Year option requires there to be teacher assessment data in the current year TA column, this data will probably be feeding back from the Termly Tracker program. If the file is a Y6 file choosing the Current Year option requires there to be Y6 SAT data entered on the tracking data sheet.

 

The children's names are highlighted according to if they are making slow, expected or good progress, or stuck or regressing. The number or levels progress expected varies according to year group so a colour key is provided in each report. From V11.8 the report also allows the number of sub levels above or below expected progress to be shown.

 

The report can be expanded to show sub levels by clicking on the Show ABC levels button. When viewing in sub levels the Age Related Expectation colours are also displayed at the top of the columns.

 

Any children appearing under the Missing Data column will be missing either FSP or KS1 data depending on if they are KS1 or KS2 children.

  

Group Assessment Summary report

This report, that opens in Microsoft Word, includes a number of text statements about progress in the core subjects. It includes the data about yearly and termly progress, held within Termly Tracker. This report is designed to support the school's SEF but may also be applicable to Governors' reports and Ofsted inspections. The table of data at the bottom of the report is a copy of the Progress Statistics report and shows progress in tenths of a level.

It also gives average progression for the cohort and for various key groups e.g. gender groups, EAL & LAC.

 

SEF Outcomes (A2.2) (Termly Tracker)
This report shows on-going termly progress. If, however, the current term's assessments have not yet been entered into Termly Tracker it is possible to choose to run the report using the previous term's expectations for 'On Track'. This may result in more pupils being reported as 'on track for 2 levels progress'.
For KS2 files the report shows the percentage of pupils on track to reach L4+ at the end of KS2, the Average Point Score to date, the progress from the end of KS1 and the percentage on track for 2 levels progress in KS2. 2 levels progress equates to 2 flat levels so will include children who, for example, are expected to move from 1A to 3C, or 2A to 4C etc.
For KS1 files it shows the percentage on track for 2C+ and 2B+ at the end of KS1, the Average Point Score to date, and the progress from the end of Reception to date in average points.
English is an average of the APS for Reading and Writing.
The copy to clipboard button allows the report to be pasted into Microsoft Word, use Edit - Paste Special and Picture (Enhanced Metafile)
