Keeping data in Primary Target Tracker files up to date and ready for an OFSTED inspection  

It is important that Primary Target Tracker files are kept up to date with the correct children, especially in schools with high mobility, also with contextual changes such as SEN, Ethnicity codes etc. and historical and current assessment data.

 

Doing this ensures that when you need to be able to produce reports and graphs at short notice, for a visit by OFSTED or your school SIP, your files will have all of the information needed.

 

Keeping files up to date contextually

 

Once a term, or more often if you have higher mobility, update your files using the Import from MIS process. This process will compare the children that you have on roll in your school management information system e.g. SIMS.net, with the children in your Primary Target Tracker files. The process will enable you to add new pupils, remove pupils who have left the school and update contextual changes including FSM, SEN and Class names. This process will not update Gifted & Talented children in your school, this should be done by editing the data on the Contextual Data sheet in PTT

Keeping files up to date with relevant assessment data

 

It is important to be able to show year on year progress in your PTT files. This means that graphs and reports will contain the most useful information. If you used Early Years Foundation Stage Target Tracker when the children in the file were in Reception your PTT files should contain assessments for Entry Level and end of Reception for all subjects. If this data is missing from your files you may want to consider adding it. It is particularly useful for children in Year 1 and Year 2 as the data in the Rec columns sets the targets for the end of KS1.

For children in Key Stage 2 it is particularly important to have their KS1 results. These teacher assessments are used to set end of year targets for the children for each year up to Year 6. These assessments are necessary when running the Making Good Progress reports and the Target Setting reports. If you have children for whom you don't have Y2 results, perhaps because they were not in your school in Y2, it is possible to search on a website called Key to Success for the results using the child's UPN number.

Teacher assessment data should be entered either termly or half termly into the Termly Tracker program.

 

If you have chosen to 'Update Tracking Data on Save' when you set up the Initial Options in Termly Tracker, this termly or half termly data will be feeding back into the Primary Target Tracker end of year column.

 

If you chose not to have the data feeding back into PTT throughout the year, it is important not to forget to run the 'End of Year Process' after your summer data has been input into Termly Tracker and after all reports from Termly Tracker have been printed out. This ensures the summer data populates the end of year TA column in Primary Target Tracker.

 

At the end of each academic year you may also wish to enter any test scores into the end of year Test columns in Primary Target Tracker, or into the KS1 and KS2 Wizards for Y2 and Y6 children.

Using the information in your PTT files

 

Keeping your files up to date as described above means that you can then generate useful reports e.g.

 

from Primary Target Tracker

  -             Making Good Progress reports which show the rate of progress for each child from FSP to KS1 or KS1 to KS2 for all subjects. For more information on Making Good Progress please use the Support Article - Primary Target Tracker and Making Good Progress (MGP) 

 

-             Level Conversion reports FSP to KS1 - which shows the number and percentage of children in the file converting from one level (6 FSP points) to another level L2 or L3 across KS1 for Reading , Writing & Maths. This report is also available for KS1 to KS2 or as a Custom setup for other year groups.

 

-             Target Setting Reports for Y2 to Y6 – this report varies in content depending on the year group loaded. For more information on the Target Setting Reports please use the Support Article - An overview of the Target Setting reports in Primary Target Tracker 

 

 

from Termly Tracker  

-             Progress Statistics report which shows progress being made on a termly basis for Key Groups of children in tenths of levels

-             Progress Between Periods report which shows progress between any 2 periods in Average Points or the 2 Point Scale

-             Yearly Progression Summary report shows the number and percentage of children making progress by 1\3, 2\3 or a whole levels progress, not progressing or regressing for each subject. It also shows how many have met or exceeded their end of year target

-             The Group Assessment Summary pulls all of the important data together in a Word document which can easily be used when preparing the SEF document. It also includes data on mobility in the cohort.

Graphs from Primary Target Tracker

 

You will also be able to produce graphs showing achievement or progress for individuals or for averages of key groups of children e.g. SEN, Gender, Ethnic groups or perhaps your core group, those children you have had from Reception compared to those who have joined the school later.

If you know that you will be asked to provide evidence of progress for a particular group of children e.g. vulnerable children, EAL children, then it is possible to save these children as a named Stored Group. It is then easy to produce graphs for the group using the Filter Wizard button in the graph wizard to select your Stored Group.
