Making PrimaryTarget Tracker files from Excel spreadsheets

You may have assessment data for pupils stored in Excel spreadsheets. These spreadsheets can be made into Primary Target Tracker files which can then be integrated into your existing Primary Target Tracker files.

 

The files will first need to be edited as follows

 

The column headings must be in Row 1
The children's surnames and forenames must be split over 2 columns – if yours are in one column it is possible to correct this easily by inserting a column to the right of the surname and using the Excel tool 'Text to Columns'
It is recommended that you have UPN numbers in the spreadsheet, it is not essential to have DOB's as well. The UPN's can be copied and pasted from the Contextual Data screen of the PTT files made from the school's MIS.
The assessment data for each child should be in one row across the spreadsheet

Having edited your spreadsheet as above then follow these instructions

 

Double click on the Primary Data Converter from your TT Launcher

From the Load Data File window browse to the location of the Excel spreadsheet and double click on it

Choose New/Edit Template and you will see a form with the column headings from your spreadsheet in the first column 'Import from column'

In the right hand column 'Store in TT column' click the drop down menus in turn and select the correct PTT column for this data to be copied into

If any of your assessment data columns have data in the form of level a,b,c's or 2 point scales use the middle column to select the correct option

When you are happy with your choices you have the option to Save this template. This would be useful if you have other spreadsheets, with exactly the same layout of columns that you wish to convert. This would mean that you wouldn't need to select the columns again next time

Then click on Continue and you will be asked where you wish to save this new PTT file and asked to give the file a name. Save the file

Load the new file into PTT and close and save it

 

This new PTT file containing your assessments can now be integrated into your existing master year group PTT file which contains all of the contextual information for the same children. Use the Support Article – Integrating data from one Primary Target Tracker file into another file
