Finishing the year and preparing Primary Target Tracker files for the next academic year  

 

For schools that use the Termly Tracker program

 

Enter the summer term assessments into Termly Tracker and print all reports required for the current academic year. Save a copy of the file into a new folder called perhaps – Summer data 20XX

When all assessments are in and reports are printed click the Manage Assessment Periods button and click the Run End of Year Process button.

You will get a warning that if you continue your data will be locked and a reminder that you should have run any reports required before doing this process – Click OK if you are ready to continue. Then click No to close Termly Manager

The summer term assessments will now be transferred back into PTT

 

If you wish to transfer the data in Termly Tracker back to Primary Target Tracker but do not want to run the End of Year Process this is possible by going to the File menu in Termly Tracker and ticking the option to Update Tracking TA Data, then closing and saving Termly Tracker. This process will transfer whatever the current data is in Termly Tracker to the end of year TA column in Primary Target Tracker.

 

For all schools

 

Load your file into Primary Target Tracker. You should check that you have the current  summer term assessment data in the end of year TA columns. This is the data that has either fed back from the Termly Tracker program or has been entered into the TA columns directly, if you haven't used Termly Tracker.

If you haven't already saved a copy of the file into a new folder, to preserve as Summer data, do so now.

If you are planning to make your KS1 or KS2 data return to the LA or QCA from Primary Target Tracker, you will now need to go into the KS1 or KS2 Wizards. Follow the appropriate Support Articles for this part of the process.

You can also enter any optional test data directly into the Y3, Y4 or Y5 Test columns and SAT test data into the Y2 Test or Y6 SATS columns.

Alternatively you can enter your Y2 Test or Y6 SATs data into the KS Wizards. Please use the Support Article - Entering Key Stage 1 and Key Stage 2 SAT test data into Primary Target Tracker

 

To prepare your files for the start of the new academic year it is just a case of renaming each file. It is easier to do this out of the program. Follow the Support Article - Updating Primary Target Tracker file names for the start of a new academic year .

 

In September

 

You will need to load the file into Primary Target Tracker, and confirm the year group for the new academic year, before you will be able to load it into Termly Tracker. When loading the file into Termly Tracker you will be presented with the Initial Options page to set your required options for the new academic year.

 

If you have new children to add or existing children to remove from your files in September, use the Support Article -   Updating Primary Target Tracker files using data from a School Management System. This process will also update your new class names if you have this information updated in your school MIS
