Extracting pupil data from Phoenix E1

These instructions enable you to produce a report from Phoenix E1 which can then be used to set up your Target Tracker files.

 

Creating the Report

 

Log in to Phoenix E1 online.   Click on the Reports link on the left of the screen.   Create a new report called 'TT Pupil Extract'.
Include all the data items as shown in the screenshot. (Fig. 1) Ensure that the width is set as in the screenshot for all items.
Click on the Submit button after adding each item.
Follow the wizard through to finish the report .

 

 

 

 

Running the Report

 

From the list on the left hand side select Reports, Search and then select the All button on the right of the screen.
Tick the TT Pupil Extract report and then click on Generate

 

 

 

 

Click on Search and Select All from the next screen

 

 

 


Once all the pupils are displayed then click on View Report

 

 

 


Once the report has been generated scroll down to the bottom of the page and click on XLS Export

 

When the File Download dialog opens click on Save.

Save the file with the name of TT Pupil Extract.
Important - Open the file in Microsoft Excel and ensure there are no duplicated children e.g children for whom there is shared responsibility. If there are any just delete the rows containing the duplicates.
It is often also necessary to format the Date of Birth and the Admission Date columns as dates. To do this highlight the Date of Birth column by clicking on the header, then click on the Data menu and Text to Columns. A wizard will open, click Next and Next again, choose the data type 'Date' from the choices available then click Finish. Repeat this for the Admission Date column.
Then save the file by clicking on the File menu and choosing Save As, ensure the file is being saved as a Microsoft Excel Workbook, and is not an html web page.

 

If you are about to go on a Starter Course, you may wish to take this file with you on a memory stick. Please protect the data in accordance with your school or Local Authority Data Protection policy. It will be converted to Target Tracker files on the course.
