Extracting pupil data from Integris

These instructions will enable you to produce a report from Integris which can be used to set up your Target Tracker files.

If you are extracting data from Integris for the first time you will need to import the 'report template' we have provided into your system.

This template may be downloaded from the Target Tracker website, www.targettracker.org/- Support - Downloads or you can browse to the following location on any PC running Primary Target Tracker by following this path -(C/ProgramFiles/TT/DataExtractionKit/Integris)

To import the template:

Launch Integris

Select Admin / Reports from the menu bar on the right

Click Adhoc Reports (be sure to click on the words not the folder icon)

Click the Adhoc Manager button

There is an icon that looks like a sack barrow in the Adhoc Manager icon bar. This is the Import Reports icon: click it to import the report template.

Browse to the location of the template, the location that you chose when saving the file from our website or the C drive, as above

Select the file TT_TrackerV5.ahr and click OK.

Close the Adhoc Manager
This will add the 'TT TrackerV5' template to the list of Adhoc Reports available in Integris.

To generate the report:

Select Admin / Reports from the menu bar on the right

Click Adhoc Reports (the folder icon this time)

Select 'TT TrackerV5' from the list of reports.

Click New Query, and the Student Search form appears.

Click Find. A list of all pupils on roll will appear; click the Select button

Say Yes to the message box that appears
This query will run the 'Target Tracker' report for all pupils currently on roll.

To save the report click the Print button

Type in a name for your file, such as 'myschool.csv'
Make sure that you put the .csv file extension on the end and that you only use alpha or numeric characters in the filename (i.e. no spaces or symbols such as backslash).

Choose a location e.g. your desktop to save the file to

Click the OK button.

You now have a 'comma separated value' (.csv) file, containing details of children in your school.    This file should be opened in Microsoft Excel and saved as an Excel (.xls) file. Do this by choosing File and Save As. From the Save as type drop down, choose Microsoft Excel Workbook

If you are about to go on a Starter Course, you may choose to take this file with you on a memory stick. Please protect the data in accordance with your school or Local Authority Data Protection policy.   It will be converted to Target Tracker files on the course.
